      Description

      Spec

      Layout in separate issue, https://jira.bikalabs.com/browse/BC-55

      • COC is optional as per selection in Bika Setup. On the Sampling and COC Tab, Enable Sample Chain of Custody. Not all Labs require COC. Enough do for this functionality to be included in the core
      • The COC is a Sample / Sample Partition feature and live on the Sample Object, in UI, on a new Sample tab COC
      • It should also be accessible from ARs, I propose the same Sample COC be shown on the AR, the many to oen AR Sample relationship makes it possible

      Workflow
      Please confirm Pravin K. Mishra:

      • Since the ARs are registered before Sampling, the records will be available Client side. The Client user browses to the Batch, select the Samples/Partitions to be transferred, ensure his name is in the Relinquished by field, and the lab's sampler/collector's in the Received by and submit.
      • I think the receiver needs to confirm receipt too, on a smartphone (ouch) or Tablet browser perhaps, if not a separate secure logon on the client (key logging) PC. Take own laptop/tablet on cellular network?
      • Xfer at the lab to reception will be similar but easier
      • The above makes me think Sample gets another workflow step, Collect e.g Sampled -> Collected - Received

What then happens to the COC?

      • We leave the form open for adding more xfers, there will be at least 1 more, when the Sample is discarded.
      • Eventually to be API'd to Odoo, but is there an email or paper trail too?

          paraphrased from email by Pravin:

an advanced way where the whole process runs in LIMS. I am guessing this by the way you broke down the COC

Our design philosophy also take general requirements in demand, corner painting and keep the LIMS practical for all, obtaining co sponsoring where possible. Sample COC is vital in Forensics, Precious metals and Biobanking. Keeping them in the loop benefits everybody. I am sure u see the benfits already

Above all, we are looking at the best way to fit the COC to existing Bika machinery, improving turnaround and accuracy for the lab. Nevertheless one tends to, and is best, to go for the Ferrari design first and then scale back without losing sight of advances elsewhere. Patching stuff on later in costly too

The specced functionality makes the lab requirement easy to accomplish, with seemingly only a print of the PDF as extra?

because it is Marijuana, immediate needs are old fashioned.

Time to blow the industry's socks off!

When we print stickers for the container

Per Sample Partition - Also bar-coded accordingly

we want to print a blank form
(with known field names and values, including sample id and sampler name)
and carry it to the sampling site.

          • Add Print button

Print must include Sample partition barcodes

Weights and signatures as well as collection time get hand filled by client and sampler.
After taking custody, the sampler carries this paper form along with the samples so
that if he gets stopped by police he can prove that he is on legit business.

No problem there, they capture the paper form input back at the lab, The form as designed makes this easy with look-ups, e.g. restricted to the specific's client look-ups - these too can be entered before printing the form. If the lab wants, scan the docs and upload. Invest in a good bulk scanner!-)

NV requires a travel manifest with we can incorporate using google map
or have preprinted maps for every customer.

          Jip. mentioned in the Spec

Upon return, receiver takes the custody by signing. The original form stays with the sample
until sample is retained by the lab.

Scan and attach to the electronic record too. Complete

Some states also need the manifest and tentative sample list to be uploaded
to the police before taking any custody.

I wondered what happened to that. In our early Analysis, interfacing state systems was high on the agenda

Electronically filling using handheld device is possible but not sure enough.
Moreover sampler does not want to risk device breakdown during transit.
That is why I was hoping that we can use “Print Sample Sheet” function
to have an A4 output for COC printing.

          Easy

          • Bulk COC printing function for printing off the lists, per client etc.

Posting to the lists re Electronic sign-offs of Xfers off-site.Easily achieved where labs Clients have Bika running at the dispatch desk. What % Pravin K. Mishra?

Its all good. Few more clarifications. State regulations are moving targets. For now if we keep house in order, good chances that legislature would appreciate and incorporate as they are learning how to regulate. Legal objective of COC is not to make it hard for legal business but to catch the illegal operators. State interfaces will evolve, but state will never log in to the LIMS despite LIMS allows that option. Hence reporting/interface are phase-x items. However, each ME-ID has to have separate COC. In other words, a cultivator may have a MME and a RME and if crop is segregated for its intended use, will have different COC for the same batch. Easy to address by having two separate Clients in the system. Sampler would like to consolidate all samples on the same COC for each ME-ID. Your suggestion for selecting all the ARs that can be combined in a single COC and have a "Print COC" option in the bottom solves it. Law is still not clear if Sampler can collect all samples from clients located in a route or has to return back to the lab after collecting from each client. Former is more practical and manifest creation with google api may be a great solution, One can put wings on it if Sampler can be tracked by the lab and client on a map! Phase -x.

Can we not give the Client both MME ID and RME ID? Then simply print both on the COC. Cheap

Misunderstanding. printing from the list is to print many individual COCs at once. I understood that the print has to travel with each individual Sample. Combining COCs will be expensive

Not combining COCs. Just option to select which ARs can go as line items on a printable COC.
